Who we are

The Benchmarking data service is managed by the Infrastructure and Projects Authority (IPA). IPA works with the Cabinet Office and HM Treasury and will be referred to as ‘we’ from now on.

IPA is committed to protecting the privacy and security of the personal data we collect from you. This privacy notice explains how we use and protect the personal information that we collect from you when you use the BDS. When we do this, we are the data controller.

Please read this privacy notice carefully as it provides important information about how we handle your personal information and your rights. Why our use of your personal data is lawful

Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller. In this case that is for government departments to streamline the grant application process.

The personal data we collect

The personal data we collect from you includes:

  • name
  • email address
  • mobile number
  • the organisation you work for

Why we need your data

We collect your name, email address and organisation so:

  • you can create an account and login in to the service
  • Send you Two Factor Authentication links when registering and logging in to the service
  • notify you should the service change
  • notify if you we need clarification on data you’ve submitted to the service

We also use Google Analytics to collect information about how you use this service and find and compare, or submit data. When we do that we rely on your consent. You can find out more by reading our cookies preferences.

Why our use of your personal data is lawful

How long we keep your data

We will retain your personal data for as long as is necessary to provide you with our services and for a reasonable period thereafter to enable us to meet our contractual and legal obligations and to deal with complaints and claims.

At the end of the retention period, your personal data will be securely deleted or anonymised, for example by aggregation with other data, so that it can be used in a non-identifiable way for statistical analysis and business planning.

Who has access to your personal data?

IPA and our external data storage supplier have access to your data. Our data storage supplier will only use your data in line with this privacy policy.

Your rights

  • You have the right to request information about how your personal data are processed, and to request a copy of that personal data.
  • You have the right to request that any inaccuracies in your personal data are rectified without delay.
  • You have the right to request that any incomplete personal data are completed, including by means of a supplementary statement.
  • You have the right to request that your personal data are erased if there is no longer a justification for them to be processed.
  • You have the right in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted.
  • Where we are using your personal data with your consent, you can withdraw your consent at any time.
  • You have the right to request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and machine-readable format.

Complaints

If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an independent regulator.
